How it works
The advantage of synchronizing to Office 365 is to facilitate the ability to add events to the calendar in RecMan (i.e., booking a meeting with a client or candidate) and have them show up in your Office 365 calendar either on your smartphone or on your PC/Mac. In the same way, events that you add to your Office 365 calendar will also show up in RecMan.
However, it is important to remember that RecMan should be the “master” because RecMan will when it comes to, e.g., booking a meeting, possess far more information about the client than you will have in Office 365 / Outlook. An event will then become more “filled,” and it also locates itself in the correct places (like the log on the client).
If you rearrange any of the calendars, then the times will be updated in both places. The same is prevalent if you change the name or other information about the event. You can even create new calendars directly in RecMan, and they will then show up in Office 365 as well. Note that this will be the same for deletion.
This syncing is only possible for the calendars and not for email or tasks. For email integration with Office 365, we provide our own service. See this article for more information about email integration.
Setting up sync between RecMan and Office 365
Important
To ensure that the calendar of RecMan can communicate with your calendar in Office 365, your Global administrators have first to approve the RecMan’s synchronization application. This is done by the Global administrators by setting their own sync between the Office 365 calendar and RecMan before everyone else in the organization by using the link called Connect as admin.
Warning
If you are already synchronizing your calendar with Google, it MUST be deleted before setting up Office 365. This is to prevent a loop of events and duplicates.
In RecMan, you have the option of syncing RecMan’s calendar with your Office 365 calendar.
Follow these steps to set up calendar integration.
- The calendar module can be found on the left under the Home screen.
- In My Сalendars section, click on the settings icon (cogwheel):
- Click Sign in with Microsoft and select the right option for you.
- If you are already logged into your account Microsoft 365, the connection will be done automatically. In case you have different accounts, you will be able to choose which account should be linked. If you are not logged in, you will be told to log in. Log in with your Office 365 Username and Password.
After having gone through step 4, Office 365 should be synced. If you go into the calendar settings again, you will see the last time RecMan synced with Office 365.
Note
It can take up to 16 minutes the first time calendar events are synced between the calendars.
Troubleshooting
In case you get an error message after logging into your Office 365 or clicking on the account already logged into Office 365, you need to contact your Office 365 administrator. The error could be because the user does not have access to the sync feature, and, in this case, has to be turned on by the administrator. It may also be that your user does not possess Exchange, and then the sync will not work either.
